November 13th, 2024, Regular Meeting at The Sports Cabin
Those in attendance: Carrie Moritz, Bruce Brown, Paetyn Dreckman, Luke Dreckman, Susan Haygood, Guy Johnson, Heather Jacobson, Macie Coburn, Kris Johnson, Megan Rollag, Sarah Beahler, Rob Meyer, Kimberly Konda, Corey Scott, and Tom Coburn.
12:00 pm Luke Dreckman called the meeting to order.
Secretary’s Report – Garrick provided minutes from the regular October meeting as Paetyn was unable to attend October’s regular meeting. Megan motioned to approve the meeting minutes to include additional discussion on reimbursements of up to $50 for candy purchase for Trunk-or-Treat. Carrie seconded the motion which passed unanimously.
Treasurer’s Report – Kris provided treasurer’s report on profit & loss and balance sheet for the period and year to date. Discussion was had on Garretson Gun Club paying prorated membership for remainder of 2024. Guy motioned to approve the treasury report as presented. Megan seconded the motion which passed unanimously.
Old Business:
Trunk or Treat Recap – Group discussed the great turn out. Library counted 252 entering their building. 5 stations in total in Split Rock Park for Trunk-or-Treat.
Celebrations – Luke asked about any retirements or celebrations to note. Library will be hosting an open house January 11th, 2025, from 9-12pm.
Hometown Christmas – Luke provided update on raffle items and planning to date. Raffle drawing will be held late afternoon and will be on the final schedule. Group went through draft schedule and items still needing to be confirmed. Carrie to confirm “Treatment for Tots” with Palisades Chiropractic. Kimberly confirmed “Guess the Weight” at the Treasure Chest. Luke confirmed the Youth Wrestling Bake Sale. Bruce confirmed Open House at Food Pantry. Luke to follow up with Karaoke at the Gulch. Luke to look into local nonprofit for hot chocolate sales during the parade. Kimberly asked about a food truck to provide hot beverages and treats for sale. Discussion was held and Carrie motioned to allow for food truck for hot beverages and treats only pending nonprofit group availability. Paetyn seconded the motion which passed unanimously. Minor end time updates were made. Discussion was had on how to spend $800 budgeted for advertising. EDDM will go out and add will be published in Gazette. Event has been created on social media and Carrie will boost posts for event as well as decorating contest. Discussion was had on punch card drawing and picking judges for light contest.
New Business:
Community Event – Group discussed options for winter community events. Discussion was held around a “puzzle-pizza” event at the Legion. Luke offered to work on planning. Rob confirmed the Legion would be available February 15th, 2025. Kris motioned for the “puzzle-pizza” event on 2-15-25. Paetyn seconded the motion which passed unanimously.
Budget Meeting – Board discussed dates they would be available for budget planning. Plan is for December 9th 2024 at 11am in the conference room of the school.
August Event – Palisades Oil and Propane – Tom Coburn discussed plans for customer/community appreciation event on August 16th, 2025. Planning for street dance starting at 6:30 to 10:30pm with Undercover Band. Will work with the city on placement and local merchants downtown for food and drinks.
Club Insurance – Luke reached out to Nick with Peoples Insurance and advised they would not be able to get a quote put together for the new year in time and to let Garretson Insurance offer coverage for 2025. Megan presented quote provided. Discussion was had and the board advised Megan not to remove her commission fee. Guy motioned to approve quote as presented. Kris seconded the motion which passed unanimously.
Other Business:
Luke requested input from group on benefits listed on annual dues invoices and adding the hiring campaign. Discussion was held on adding to advertising budget for 2025.
12:55 pm Luke motioned to adjourn the meeting with a second from Carrie. Motion passed unanimously.
Next meeting will be held at Palisades Oil on December 11th with meal at 11:30 and meeting to begin at 12:00 pm.
