Garretson Commercial Club Minutes for December 6, 2023

            Commercial Club Meeting for December 6, 2023 was held at The Sports Cabin, with the meeting beginning at 12:00 p.m. Board members in attendance were Megan Rollage, Luke Dreckman, Kris Johnson, and Laurie Bennett. Other members in attendance were Paetyn Dreckman, Sam Williamson, John Brinkman, Garrick Moritz, and Carrie Moritz.

            As there was no quorum and Kris had not arrived quite yet, the secretary’s report and treasurers report were held. The agenda began with finishing up final details for Hometown Christmas. 17 vendors were registered for the Vendor Fair and Luke had finished gathering items for the silent auction. Megan had personally reimbursed Springdell 4-H for the craft materials and would request reimbursement from the Commercial Club. Crafts would be $1 per craft or 6 for $5. There was a discussion of having the silent auction go later into the day next year if the firemen wish to do the chili feed again.

            During this time, Kris arrived and gave the treasurer’s report. All finances looked good. The budget meeting needed to be set, it was decided for Tuesday, December 12 at 4:00 p.m. at First Bank & Trust conference room.

            Luke and Paetyn were able to get the annual meeting mailers out. The annual meeting will be held Monday, January 15 with social hour at 5:00 p.m., meal at 6:00 p.m., and meeting at 7:00 p.m. at the Legion Dugout. Rob Meyer, LeRoy Austin, and Kris Johnson are up for renewal and are willing to re-up. Luke had also been asking some people if they’d be interested in nomination. Megan Rollag was interested in being a board member at-large again too.

            The annual meeting agenda was discussed. Some by-laws will be voted on, such as storing records virtually, updating the address, and publishing minutes. Minutes had been published in the past as soon as they were written but that had not been clarified in the by-laws, leading to some confusion in the past year and minutes not getting published.

            Discussion then moved to Dinner Detective, scheduled for February 10. Letters were scheduled to go out to businesses for first-come-first-served ticket sales and sponsorships by December 15.  There are 75 tickets total and businesses have until the annual meeting to claim their number of tickets. Kris agreed to contact Roxann Westover to see if she’d be willing to design centerpieces for the tables. Megan agreed to contact Heidi Fink to see if St. Rose youth students would be willing to serve for service hours.

            The meeting adjourned at 1:00 p.m. The next meeting is scheduled for January 15 at the annual meeting.
